Business management · Subscriber Portal

Customers who pay every month handle it themselves: invoices, membership card and requests in one portal

The student in a non-degree course, the family on a meal plan, the club member and the business with a maintenance contract sign in to the portal with their CPF or CNPJ to see their contracts, pay invoices by PIX or bank slip, show a digital membership card with a QR Code at the entrance, and request a suspension, cancellation or plan change. Payments settle automatically in Accounts Receivable, and requests reach the dashboard as requests, with nothing changing in the contract until the team responds.

The problem and the fix

The problems Subscriber Portal solves every day

If any of these situations sounds familiar, it is because they happen in almost every graduation company, until the right system comes in.

The problem

The subscriber calls every month asking for a duplicate invoice.

With Partiu Formatura

In the portal they see their invoices, pay instantly by PIX or generate a bank slip, and download the receipt once it is paid.

The problem

The payment comes in and someone has to settle it by hand to take the monthly fee off the overdue list.

With Partiu Formatura

When the bank confirms the payment, it settles automatically in Accounts Receivable: when the invoices are opened, on the "I've already paid" button and in the daily routine.

The problem

At the club entrance or in the cafeteria, nobody knows whether the person's contract is current.

With Partiu Formatura

The digital membership card shows a QR Code that the front desk scans. Whoever pays also sees the cards of the beneficiaries on their contracts.

The problem

The customer sends "I want to cancel" by message and the request gets lost, or is handled without checking the penalty and notice period.

With Partiu Formatura

Suspensions, cancellations and plan changes become requests in the dashboard. Nothing changes in the contract until the team responds, and the decision still happens on the contract record, with a preview of the penalty and notice period.

The problem

Every change of phone number or address becomes a ticket for the team.

With Partiu Formatura

Customers update their own contact details and address. Name, ID number and date of birth only change through a request, which the team reviews.

In practice

Real examples of Subscriber Portal working for you

Everyday situations at graduation companies, from the problem to the result, using the modules on this page.

01

A club with members paying from their phones

The scenario

A club collected monthly dues by printed bank slip and settled them by checking the bank statement.

With the system

The club started sending the portal link with its own name and logo. Members sign in with CPF and date of birth, see the next invoice and pay by PIX.

The result

Confirmed payments settle automatically in Accounts Receivable, and members show the card with the QR Code at the entrance.

02

A family meal plan

The scenario

The parents pay for the meal plan of two children who use the cafeteria every day.

With the system

The financial guardian signs in to the portal and sees both contracts, the invoices and the children's membership cards. Each child, as a beneficiary, sees that they are covered, without seeing the amount.

The result

The children show the QR Code in the cafeteria and the parents handle the invoices without calling the school.

03

Time off without canceling the contract

The scenario

A student in a non-degree course was traveling for two months and did not want to lose their spot.

With the system

Through the portal, they requested a suspension with a start date and an end date. The request reached the dashboard under Portal requests.

The result

The team applied the suspension on the contract record using the plan's rule, and the contract history started showing the change.

Module by module

Everything included in Subscriber Portal

6 modules and 32 features on this page, all running on the same class, graduate and event records.

Passwordless sign-in

Customers sign in with what they already have, without creating yet another password.

  • CPF or CNPJ with date of birth (for businesses, the date of incorporation)
  • Or a 6-digit code sent to the email on file, never to one typed on the screen
  • A company link with its name and logo that limits sign-in to that company
  • Customers of more than one company choose which one to access
  • Deactivating the person in the dashboard cuts off access immediately

Invoices and payment

The number one reason anyone opens the portal is to pay.

  • The next invoice featured on the home screen, with the Pay now button
  • PIX with QR Code and copy-and-paste code, or bank slip with due date
  • Charges reused while still valid, without generating a new one on every click
  • Automatic settlement in Accounts Receivable when the bank confirms
  • A payment receipt to print or save as PDF
  • An overdue invoices badge in the menu

Contracts

What was contracted, for whom, and what has changed since sign-up.

  • Plan, amounts, discounts and dates for each contract
  • People on the contract: account holder, financial guardian and beneficiaries
  • History with sign-up, price adjustments, plan changes, suspension and reactivation
  • Beneficiaries see that they are covered, without seeing the amount
  • Shortcuts to request a suspension or cancellation right from the contract

Digital membership card

The QR Code to show at the entrance, in the cafeteria or at the counter.

  • A card for everyone who uses the service under an active contract
  • Whoever pays also sees the beneficiaries' cards
  • The person's status checked every time the card is shown
  • Contract number and plan name next to the QR Code
  • A tip to turn up screen brightness so the reader scans faster

Requests

Requests to the team, with the answer right in the portal.

  • Suspend or take time off, with a start date and, optionally, an end date
  • Cancel the contract or change plans
  • Correct name, ID number or date of birth
  • Any other matter, in free text
  • Cancellations, suspensions and plan changes only by the account holder or the payer
  • Withdraw the request as long as it has not been answered

In the company dashboard

The other side of the portal, inside the Subscribers module.

  • Portal requests arrive as requests, never as a done deal
  • Cancellations and suspensions applied on the contract record, with a preview of the penalty and notice period
  • Online payment through the receiving account set for monthly fees
  • Screens the company does not use yet disappear from the portal menu
  • Full separation by company, as everywhere in the system
